Why Most Projects Fail Before They Start

Most Renovation Budgets Are
Wrong Before the First
Trade Is Called.

A number without quantities behind it is not a budget — it is a guess. And guesses fail.

The most common reason renovation projects go over budget is not that contractors overcharge. It is that no one measured the work before the contract was signed. A contractor who walks a site and gives a number is working from visual estimation — not from actual quantities. Therefore, when the project begins and reality diverges from the estimate, there is no documented basis for the original price. Change orders follow.

What ClearScope™ Changes

ClearScope™ produces the takeoff before any contract is signed. Every surface is measured from your actual drawings. Every trade is counted by quantity — linear feet of framing, square feet of drywall, count of fixtures. As a result, every contractor bidding your project bids the same scope from the same numbers. In addition, you can compare bids apples to apples instead of trying to reconcile wildly different descriptions of work.

The Spartan Standard
Know the quantity before you commit to a price. The ClearScope™ takeoff is the document that makes fixed-price contracts actually fixed — because every surface that will be built is counted before anyone picks up a tool.
Without a Takeoff
Contractor estimates from visual walkthrough — actual quantities unknown
Multiple contractor quotes describe different scopes — no apples-to-apples comparison
Change orders appear mid-project — “we didn’t account for that” is impossible to refute
Budget runs over — no baseline document to defend the original number
With ClearScope™
Every quantity extracted from your actual drawings — no estimation
All contractors bid the same quantities from the same document
Change orders require documented scope changes — not contractor claims
Budget is defensible — every number traces back to a measured quantity

Who Uses ClearScope™

Built for Anyone Who Needs
to Know the Numbers
Before They Commit.

01
Homeowners
You’re planning a kitchen, bathroom, basement, or full renovation. You’ve had three contractors walk your house and given three wildly different quotes. ClearScope™ gives you the actual quantities so you understand what you’re paying for — and why prices differ.
  • Know your cost before signing anything
  • Compare contractor quotes apples-to-apples
  • Stop change orders before they start
  • Understand where the money goes
02
General Contractors
You’re bidding a project and need quantities to send subtrades. Or you have a client who wants a fixed price and you need real numbers to back it up. ClearScope™ produces the quantity takeoff so your bid is built on measured data, not memory and markup.
  • Bid with real quantities not estimates
  • Send trades a documented scope to price
  • Support fixed-price proposals
  • Protect your margin from scope creep
03
Architects & Designers
Your drawings are complete and the client needs a budget before they commit to construction. ClearScope™ produces a construction cost estimate from your actual drawings so the client has real numbers tied to the actual design — not a rule-of-thumb per-square-foot approximation.
  • Cost estimate from the actual design
  • Scope tied to the drawings, not rules of thumb
  • Supports client budget conversations
  • Available before contractor is selected
04
Developers & Investors
You’re evaluating a property or planning a development and need a construction cost model before committing capital. ClearScope™ produces trade-level quantity and cost data from your schematic drawings so due diligence is built on real numbers.
  • Pre-acquisition cost modelling
  • Budget by trade before tender
  • Multi-unit and commercial scopes
  • Canada-wide remote takeoff service
05
Subtrades & Specialty Contractors
You’re quoting a scope and the GC hasn’t provided quantities. Or you want to verify the quantities in the GC’s scope before you sign a subcontract. ClearScope™ gives you the independent quantity data to price with confidence.
  • Independent quantity verification
  • Price your scope from real quantities
  • Single-trade or multi-trade takeoffs
  • Protect yourself from scope undercount
06
Insurance & Restoration
An insurance claim requires a documented scope of repair. ClearScope™ produces a line-item rebuild estimate from your existing drawings or from site measurements — formatted to insurance reporting standards and ready for adjuster review.
  • Insurance-coded rebuild estimate
  • Compatible with Xactimate workflow
  • Scope from site measurements or drawings
  • Adjuster-ready format

How ClearScope™ Works

Submit. Measure.
Receive. Build with
Confidence.

01
Submit Your Drawings
Share a link to your drawings — Google Drive, Dropbox, WeTransfer, or email. Floor plans, elevations, and RCPs are ideal. However, even sketches or partial plans can produce a useful takeoff for early-stage budgeting. No drawings yet? Contact us and we can guide you on what to prepare.
02
Scope Review & Quote
We review the drawings and confirm the scope and turnaround time. You receive a takeoff price quote before any work begins. Because you approve the price before work starts, there are no surprises on the takeoff itself. Turnaround is confirmed in the quote.
03
Colour-Code & Measure
Our team uses PlanSwift to colour-code every surface by trade, extract every quantity, and apply current GTA unit costs to each line item. As a result, every number in the deliverable traces directly to a measured surface on your actual drawings. Nothing is estimated.
04
Receive & Build
You receive the complete Excel takeoff, colour-coded markup plans, and a 30-minute review call. From there — take the scope to market for bids, bring Spartan in as GC, connect with Builders Plug™ trades, or use it for bank financing. The numbers are yours.

Common Questions

Before You Start
Your Kitchen.

How much does a kitchen renovation cost in Toronto in 2026?

Kitchen renovations in Toronto range from $18,000 for a cosmetic refresh to $250,000+ for a fully custom luxury kitchen. A partial upgrade with new RTA cabinets, mid-grade quartz, and flooring runs $35,000–$65,000. A full remodel with layout reconfiguration, new plumbing, electrical, and semi-custom cabinetry typically runs $65,000–$120,000.

Final price locks after architectural drawings are produced, the ClearScope™ takeoff is completed, and finish selections are approved. Any quote given before that process is an estimate — we don’t commit numbers without doing the work to earn them.

How long does a kitchen renovation take in Toronto?

6 to 14 weeks from demo to final handoff, depending on scope. A cosmetic refresh with no layout changes can be done in 4–6 weeks. A full gut with custom cabinets and plumbing relocation typically runs 10–14 weeks.

The biggest variable is cabinet lead time — custom and semi-custom cabinets run 4–10 weeks from order. At Spartan, cabinets are ordered only after the layout drawing is confirmed and the takeoff is approved, so no dimensions change mid-project.

What if unexpected issues are found during the kitchen renovation?

We find most issues before demolition begins. The pre-construction site assessment, structural review, and permit drawings are designed to surface hidden conditions before work starts — not mid-build.

When genuine surprises occur — galvanized plumbing, asbestos floor tile, unexpected framing — we document it immediately, present you with clear options and transparent pricing, and proceed only with your written approval. You will never receive an invoice for work you didn’t approve.

Do I need a permit for a kitchen renovation in Toronto?

It depends on what’s being done. Cosmetic work — new cabinets, countertops, tile, and flooring — does not require a permit. Moving plumbing (sink relocation), adding circuits to the panel, or removing a wall requires permits under the Ontario Building Code.

Spartan manages the full permit process — drawings, submission, and inspection scheduling — as part of the scope. You don’t chase the city. We do. For official permit information, visit City of Toronto Building Permits or review the Ontario Building Code.

Can I stay in my home during a kitchen renovation?

Yes — most clients do. The kitchen is blocked off and protected during demolition. Once rough-in work is complete and the space is drywalled and primed, the worst of the disruption is behind you. We set up a temporary kitchen area where possible during the build phase.

The most disruptive period is the first 1–2 weeks of demo and rough-in. After that it becomes much more manageable.

What is the kitchen renovation ROI in Toronto?

70–85% ROI is the typical range for a well-executed kitchen remodel in the GTA. This means a $100,000 kitchen renovation typically adds $70,000–$85,000 in resale value — making it one of the highest-returning renovation investments in Toronto real estate.

ROI varies by neighbourhood, project quality, and how closely the renovation matches buyer expectations in your area. Overbuilding for the neighbourhood — spending $200,000 in a $700,000 home area — reduces returns. Spartan can advise on appropriate scope for your market during the site visit.

Do you supply the appliances?

We can, or you can. Spartan has supplier relationships for appliances at trade pricing, or we can design the cabinet layout around appliances you’ve already chosen. Either way, appliance specifications are locked into the cabinet plan before ordering — so dimensions are always confirmed and there are no surprises at install.

What is included in a ClearScope™ kitchen takeoff?

The ClearScope™ takeoff for a kitchen covers every division of work — demolition, framing, plumbing rough-in, electrical, drywall, cabinets, countertops, backsplash, flooring, range hood ductwork, fixtures, painting, and hardware. Every line item includes quantity, unit of measure, and cost breakdown split by labour and materials.

You also receive colour-coded markup drawings showing exactly what was counted on your layout — so you can trace every line item back to a physical location in the kitchen.

Common Questions

ClearScope™ Takeoff —
What Clients Ask
Before They Submit.

What drawings do I need to submit?

Floor plans are the minimum requirement. However, the more complete the drawing set, the more complete the takeoff. Elevations allow wall finish quantities to be taken off precisely. RCPs (reflected ceiling plans) allow ceiling and lighting quantities. Full construction drawing sets produce the most accurate takeoff. If you only have a sketch or a partial plan, submit it anyway — we will tell you what we can produce from it.

How long does a ClearScope™ takeoff take?

1 to 2 business days for small residential scopes. 2 to 4 business days for full residential projects. 3 to 5 business days for commercial and multi-unit projects. Turnaround is confirmed when the takeoff price is quoted. As a result, you know the delivery date before you approve the takeoff and before any work begins.

Is the takeoff in a format I can share with contractors?

Yes. The Excel takeoff is formatted so you can send it directly to subtrades with a request to price the quantities. Therefore, every contractor prices the same scope and the same quantities — which makes comparing bids straightforward. The colour-coded markup plans accompany the spreadsheet so trades can verify quantities against the drawings. In addition, the scope can be shared with lenders as part of a financing application.

Do I have to build with Spartan after the takeoff?

No. The ClearScope™ takeoff is an independent service. Once you receive the deliverable, you can use it with any contractor, any subtrade, or to manage the project yourself. However, if you want Spartan to build the project, the takeoff document becomes the foundation for a fixed-price contract — because every quantity is already measured, the contract price is anchored to real numbers from day one.

Can you do a takeoff for a project outside Toronto?

Yes. ClearScope™ takeoff is a remote service — we work from drawings, not from a site visit. Therefore, we can produce a takeoff for any project in Canada. Unit costs in the deliverable are based on GTA market rates by default, but we can apply regional unit costs for projects outside the GTA on request.

What is PlanSwift and why does it matter?

PlanSwift is industry-standard quantity takeoff software used by professional estimators and GCs across North America. Every ClearScope™ takeoff is produced using PlanSwift — which means quantities are extracted by measuring on a calibrated digital version of your drawings, not estimated by eye or memory. As a result, every number in the deliverable is traceable to a specific measured surface on a specific drawing.

The Spartan Guarantee™
Your Numbers.
Backed by
Our Name.

Every ClearScope™ takeoff is produced from your actual drawings using PlanSwift — not estimated from memory or rules of thumb. Every quantity is traceable. Every number is defensible. That is the standard.

Measured, Not Estimated
Every quantity is extracted from your drawings using PlanSwift. No guesses. Every SF, LF, and EA is measured and traceable to a specific surface on the plan.
Price Quoted First
Takeoff price is quoted and approved before any work begins. No payment is taken until you confirm the quote. No surprises on the takeoff itself.
Turnaround Confirmed
Delivery date is confirmed in the quote. 1 to 5 business days depending on scope. As a result, you can plan contractor conversations around a known delivery date.
Your Scope, Your Use
The deliverable belongs to you. Use it with any contractor, for lender financing, or as the foundation for a Spartan fixed-price contract. No strings attached.
